Birthday Party Terms & Conditions

Applies to all birthday parties booked at Maldon Gymnastics Club.

Venue: Maldon Gymnastics Club, Unit 12, Wycke Hill Business Park, Maldon, CM9 6UZ (behind Morrisons).

Arrival, set-up and departure

The host family may arrive up to 30 minutes before the scheduled start time to prepare the party room, including setting up any food and drinks.

Guests should wait outside and will be permitted to enter the building no earlier than five minutes before the party begins.

At the end of the party, the host family may remain for a reasonable amount of time to collect presents and balloons and tidy the party room. The room must be left in the same condition in which it was found.

All rubbish must be collected and placed in the black bin outside. Recycling is strongly encouraged.

Guests must leave the building at the agreed finishing time.

For all party packages, the host family must provide the birthday cake and candles.

Staffing and supervision

At least two qualified coaches will be present during the party, one of whom will also be a qualified first aider.

For Bronze and Silver packages, our coaches will supervise the children during their time in the gym. For Gold and Platinum packages, our coaches will lead the children through a structured gymnastics session. Kitchen staff will be present for Silver, Gold and Platinum packages.

Children under five must have a parent or guardian present at the venue. Parents and guardians may wait in the upstairs viewing area or in the waiting area outside the gym.

Parents and guardians are not permitted inside the gymnastics area. In exceptional circumstances, permission may be given for a parent or guardian to enter, but this must be discussed and agreed with the coaches in advance. Suitable arrangements can be made for children with special educational needs or disabilities if a parent or guardian needs to remain inside the gym.

All attending children will be signed in and out of the party.

Clothing and safety

Shoes, food and drinks are not permitted inside the gymnastics area.

Children should wear suitable clothing, such as a T-shirt, leotard, leggings, shorts or comfortable trousers. Party dresses are discouraged, as they may become caught on the apparatus.

Earrings and all other jewellery must be removed before entering the gym. Sharp objects or accessories are not permitted, and long hair must be tied back securely.

Alcohol and smoking are strictly prohibited anywhere on the premises.

Party schedule

Children will spend one hour in the gymnastics area, followed by 30 minutes for food and refreshments in the allocated party room.

Once the children have moved into the party room, they will not be permitted to return to the gymnastics area, as our staff will begin tidying and resetting the equipment.

Number of children

Our standard insurance arrangements cover a maximum of 16 children in the gymnastics area at any one time. The birthday child and any siblings are included in this number. Crawling or walking babies and young children are also included.

If you wish to invite more than 16 children, the club must arrange additional insurance. Depending on the total number of children, an additional coach may also be required. An additional charge of £10 per child will apply for every child above the standard maximum of 16.

Personal belongings

Maldon Gymnastics Club accepts no responsibility for the loss of, or damage to, any property belonging to the host family or their guests.

Medical conditions and additional needs

As we do not know the invited children personally, the host family is responsible for informing us if any child has a medical condition, disability or additional need that may affect their participation.

Where necessary, we will work with the child's parent or guardian to agree on a suitable plan and discuss how the child can be safely accommodated. We aim to include and treat everyone equally wherever reasonably possible. However, in some circumstances, the risks associated with participation may outweigh the benefits.

Under the requirements of our insurance, the following conditions are subject to specific restrictions:

• Rodded back: the child cannot take part in gymnastics activities.
• Down's syndrome: the child must have been tested for Atlanto-Axial Instability (AAI). A document signed by a healthcare professional must be provided before the child can participate. Anyone who tests positive for AAI cannot take part in gymnastics activities.
• Dwarfism: the child may participate in limited gymnastics activities but cannot take part in activities involving rebound or jumping, including using springboards or landing from height.
• Brittle bone disease: the child cannot take part in gymnastics activities.
• Detached retina: the child cannot take part in gymnastics activities. If the retina has been repaired, medical consent must be provided before participation.

If a relevant condition is not disclosed and the child is permitted to participate, Maldon Gymnastics Club cannot accept responsibility for any resulting accident, injury or death.

Behaviour and use of equipment

We want every child to have fun; however, safety must always remain our highest priority. Any activity or behaviour that our coaches consider unsafe will be stopped immediately.

If a child repeatedly breaks the rules, places themselves or others at risk, or risks damaging the equipment, their parent or guardian will be asked to intervene. If the child's parent or guardian is not present, the child may be asked to sit out until they have calmed down and are able to participate safely.

Payment

A non-refundable deposit of £50 must be paid at the time of booking to secure the party. The remaining balance, including any charges for additional children, must be paid on the day of the party. Payment can be made by card upon arrival.

Cancellations and changes

The £50 deposit is non-refundable. If you wish to change your party package or cancel your booking, please notify us as soon as possible so that we can make the necessary arrangements.
